Terms and Conditions
• Bookings of stalls will be strictly be on first come, first served basics

• Stalls will ONLY be reserved with a full payment or Purchase order / GPO

• Confirmation shall be in the form of full payment or a duly signed & stamped purchase order

• Cancellation for purchased stalls should be done 30 days prior to the event, failure to cancel within 30 days will result in no refund.

• If confirmation was done with a purchase order, the full amount will become due immediately

• Cancellations/Refunds: All cancellations must be submitted in writing 30 days before the event

• Failure to cancel within 30 days will result in no refund

• In the event of natural disaster, fire, rain, wind, storm, or any other unforeseen event or catastrophe, Yebo Travel and Tours shall not be obliged to refund any part of the Exhibition Fee or other monies

• All refunds are at the discretion of Yebo Travel and Tours

• Exclusions from Exhibition Fee: The Exhibition Fee does not include insurance, cleaning, loading and handling of equipment, staff, telephones, exhibit dressing, advertising or promotional material, and any other incidental costs

• Responsibility: It is the Exhibitor's responsibility to educate attendees about the industry/product/service they represent in the most positive, competent, articulate and professional manner possible

• Business casual attire is appropriate (we recommend wearing comfortable shoes)

• Not Permitted: Alcohol, illegal drugs, smoking, disruptive and disrespectful behavior are prohibited

• Arrangement of displays: The Exhibitor is required to arrange his/her/its displays to not obstruct the general view or conceal other exhibits

• No signs or banners are to be placed outside of the stall/booth area assigned to each exhibitor

• Exhibit personnel may not stand in the aisles or hand out materials, flyers, or bags in the aisles of the Expo and must do so only within the allocated stall/booth area

• Exhibitor responsible for own property: The property of the Exhibitor is deemed to be under his/her/its custody, control, and oversight at all times, including in transit to and from the venue and within the confines of their stall/booth.

• The stall/booth, materials, displays, and equipment should not be left unattended at any time

• The Exhibitor is wholly responsible for the security of his/her/its materials during set up, expo hours and pack out/dismantling

• Liability: The Organizer accepts no responsibility whatsoever for any loss of or damage to or theft of property (including materials, displays, and equipment) belonging to the Exhibitor

• Set-up: Set-up is from Thursday 31 July 2025 at 9:00 am until at 18 00 hrs at your chosen stall/booth

• If you need to set up before this day, please contact the organizers

• Stalls/Booths must be fully set up and manned by 18h00pm.

• If the Exhibitor does not arrive (or arrange with Yebo Travel and Tours) by 1500 hrs on Thursday 31st of July 2025 the stall/booth space(s) will be given to a wait-listed exhibitor and the Exhibitor will not receive a refund, unless prior arrangements have been made with Yebo Travel and Tours

• The Exhibitor must take care when installing/dismantling equipment and stand so as not to cause damage to the Venue floor, and booths, including all panels, fascia, and lighting.

• Dismantling: stall/booth dismantle shall not occur before 13:00 hrs on the 3rd of August 2025; exhibitors must fully comply with this condition.

• Failure to comply will result in a penalty fee equal to 50% of the stall fee.

• Exhibitor to indemnify: By completing and submitting the Exhibitor Application Form, the Exhibitor agrees to indemnify and hold harmless Yebo Travel and Tours and the Venue from all claims, demands, damages, and liability of any kind, including loss, damage, or destruction of property, breach of contract, injury, negligence, abuse or willful misconduct on the part of any party.

• Yebo Travel and Tours does not insure: Neither Yebo Travel and Tours nor the Venue provides insurance for the benefit of exhibitors. Exhibitors who wish to carry insurance on their property or for any other purpose must do so at their own expense.
Acceptance
The Exhibitor has read the terms and conditions and understands that this agreement is legally binding between Yebo Travel and Tours and the Exhibitor
